What is Bitrix24?

It’s a collaboration suite of over 35 different tools, ranging from communication tools like internal chats or voice calls to a fully functioning CRM that comes with automation rules and business processes. Bitrix24 is an ever-growing software with over 12 million customers worldwide.

What do Bitrix24 HR Tools include?

With Bitrix24 we can essentially build out our very own HR processes inside of Bitrix24 and use self-service forms to manage that workflows. For example, we can manage absence requests, HRs expenses, or even purchase requests through the system. Additionally, we can move on to create even more custom processes such as onboarding new staff or a recruitment workflow within the CRM system. Essentially, any type of HR workflow or process that you may be running in your business, we can look to manage that through the different functionality of HR features within Bitrix24.

Let’s look at some of the core HR tools within our platform:

  1. Individual User’s Profile & Company Structure: It allows you to set up your departments and allocate users to relevant departments or multiple departments inside the system.
  2. Time Management: How we can clock in and clock out, and record our time inside the Bitrix24 platform;
  3. Personal Drive: Capture documents and share them amongst management within Bitrix24;
  4. Self-Service Forms & Automated Processes: Set up custom processes tailored to your needs or requirements;

Bitrix24 Personal & Company Accounts:

Your profile can be accessed from the top right-hand corner of your home screen, where you can store all your information. This includes your avatar, title, name, details, mobile number, and custom fields like skill sets or previous places of work. If you’re a manager, you can also view the subordinates you are managing. Additionally, there’s a custom plugin for holiday requests which we’ll delve into later.

Moving on, you also have the ability to manage your absence and expenses. Your colleagues can request time off, and then, your HR team can then manage and approve those absences inside the system. So it’s a really nice way to be able to manage the absence or expenses inside the system.

In Bitrix24 you also have the ability to manage our performance, request feedback from other members of staff within the organization. And then, your HR team can then manage and review those performance reviews inside the system. So it’s a really nice way to be able to manage the performance inside the system.

You can see, the profile area inside Bitrix24 is a really powerful tool for managing all of our HR requirements. And it’s a really nice way to be able to capture and store all of the information about our employees inside the system.”

Bitrix24 Time Management:

  1. Accessing the Work Time Section:
    • Once you’re logged into Bitrix24, navigate to the “Work Time” section, usually located in the left sidebar or under the “Workplace” tab.
  2. Clocking In:
    • Click on the “Start Workday” or “Clock In” button. This will start recording your work time for the day.
    • Some companies might have a photo confirmation feature enabled, which will prompt you to take a photo using your webcam as proof of your presence.
  3. Taking Breaks:
    • If you need to take a break, click on the “Take a Break” button. This will pause the work time counter.
    • To resume work after your break, click on the “Continue Workday” button.
  4. Clocking Out:
    • At the end of your workday, click on the “End Workday” or “Clock Out” button. This will stop recording your work time for the day.
    • Again, if photo confirmation is enabled, you might be prompted to take another photo.
  5. Viewing Work Time Records:
    • In the “Work Time” section, you can view your daily, weekly, or monthly work time records. This includes your clock-in and clock-out times, total hours worked, and break durations.
    • Some companies might have a feature enabled where employees need to provide a reason if they clock in late or clock out early.

Bitrix24 Personal Drive:

Great feature for any HR specialist is the ability to have a personal drive. So inside it, you can store documents that are specific to the individual. It could be, for example, a contract, or it could be an appraisal document. You can store all of those documents inside the personal drive, and then share those documents amongst maybe your line manager or HR manager, for example. So it’s a really nice way to be able to capture and store documents inside the system.

Bitrix24 Forms and SPA:

Bitrix24 forms are a powerful tool integrated within the Bitrix24 CRM system that allows businesses to collect and manage information from your colleagues or clients. These forms can be embedded on websites, shared on social media, or sent via email to gather data seamlessly.

Key Features of Bitrix24 Forms:

  1. Customization:
    • Create forms that match your company’s branding with customizable fields, colours, and designs.
  2. Integration with CRM:
    • Once a user submits a form, the data is automatically captured and stored in the Bitrix24 CRM. This ensures that leads or contacts are instantly created or updated without manual intervention.
  3. Responsive Design:
    • Bitrix24 forms are designed to be mobile-friendly, ensuring that they look and function well on all devices, including smartphones and tablets.
  4. Conditional Logic:
    • Set up forms that change based on user responses. For instance, showing or hiding certain fields based on previous answers.
  5. Automated Actions:
    • Trigger automatic actions after a form is submitted, such as sending a thank-you email, assigning a lead to a sales representative, or adding the contact to a specific segment.
